Appointment reminders and "tech on the way" texts that keep your day on track
A wasted trip to an empty house costs you a slot and a tank of gas. Friendly reminders and an on-the-way text mean customers are home, the gate is open, and the dog is inside.
Missed appointments are expensive
When a tech drives across town to a house where nobody's home, you lose more than the drive. The slot is gone, the next customer gets pushed back, and the day runs late. Most of the time, the customer simply forgot or didn't know when to expect you.
A couple of well-timed texts fix most of that. Customers know exactly when you're coming, can reschedule early if something changes, and are ready when the truck pulls up.
How it works
- A visit is booked in your scheduling software or calendar.
- The day before, the customer gets a reminder with the date and arrival window, and an easy way to confirm or reschedule.
- If they need to reschedule, the AI offers open times and updates the booking, or passes it to your office if it needs a person.
- When the tech heads out, the customer gets a "tech on the way" text with the tech's name and an estimated arrival.
- After the visit, it can hand off to review requests or invoice reminders.
What the texts look like
"Hi Tom, this is Saguaro Plumbing. Reminder: we'll see you tomorrow between 10 a.m. and noon. Reply 1 to confirm or 2 to reschedule."
"Good news, Tom: Alex from Saguaro Plumbing is on the way and should arrive around 10:40 a.m."
The business and names above are examples. Every message uses your details and wording you approve.
Details that matter
- Arrival windows, not false promises. The on-the-way time comes from your dispatch or a tap by the tech, not a guess.
- Gate codes and pets. The reminder can ask customers to leave gates open and pets inside, or share access notes ahead of time.
- Easy opt-out. Every message lets customers stop texts if they'd rather not get them.
- Your tone. Short, friendly and clearly from your business.
Part of running the day smoother
Appointment reminders are one of the tools in our All-in AI Department, alongside a scheduling assistant that handles reschedules and helps fill open slots. You can also start with reminders on their own.
What we need from you
- Where your appointments live: your scheduling software or calendar
- Your arrival windows and how far ahead to remind customers
- How techs will mark "on the way": through your dispatch tool, or a simple tap

Appointment reminder questions
Does it work with my scheduling software?
We connect to many common scheduling tools and calendars, and we confirm exactly what works with yours during the free audit.
How does it know when the tech is on the way?
Either from your dispatch tool or with a single tap by the tech on their phone. We set up whichever fits how your team works.
Can customers reschedule by text?
Yes. The AI offers open times and updates the booking, and anything unusual goes to your office.
Will customers get too many texts?
No. A typical visit gets one reminder and one on-the-way text, and every customer can opt out.
What does it cost?
The audit is free. It's included in our All-in AI Department package at $1,500 a month plus a one-time $4,500 setup, or on its own it's $300 a month plus a one-time $1,200 setup. Setup can be split across your first three months. You'll know the exact price before anything is built. See all packages.
