Invoice reminders that get you paid without the awkward phone calls
Nobody likes chasing money, so it waits. An AI agent sends friendly, consistent reminders, stops the moment the invoice is paid, and flags the ones that need you.
Why invoices slip
The job is done, the customer is happy, and the invoice goes out. Then it sits. Most late payers aren't refusing to pay. They forgot, the email got buried, or they meant to do it after payday. But following up feels awkward, it takes time you don't have, and so it waits, sometimes for months.
Consistency fixes most of it. A friendly reminder at the right time, with a link to pay in one tap, gets most invoices settled without anyone picking up the phone.
How it works
- An invoice goes out from the invoicing tool you already use.
- Optionally, a heads-up before the due date, so it's top of mind.
- Reminders on a schedule you choose, for example 3, 7 and 14 days after it's due, each with the amount and a link to pay.
- It stops the moment the invoice is paid.
- Anything unusual comes to you: a dispute, a question about the amount, or an invoice that's still open after the last reminder.
What the messages look like
"Hi Dana, this is Mesa Pest Control. Friendly reminder that invoice #1042 for $189 was due on the 3rd. You can pay here: [your payment link]. Thank you!"
Customer: "I think I was charged for two treatments but only had one."
Agent: "Thanks for letting us know. I've passed this to the team, and someone will call you to sort it out. We'll pause reminders in the meantime."
The business and amounts above are examples. Every message uses your name, your invoices, and wording you approve.
Friendly, not collections
These are reminders from your own business about your own invoices, in your voice. There are no threats, no late-fee surprises unless your terms already include them, and no arguing about disputed charges: those go to you. If an account truly needs collections, that's a different service, and the agent simply tells you which invoices have gone quiet.
What we need from you
- The invoicing or field-service tool you use, so we can see what's open and what's paid
- The payment link your invoices already use
- Your reminder schedule and how firm you want the later messages to sound
We confirm which tools we can connect to during the free audit, before you commit to anything.
What you see
A simple view of every open invoice and where it is in the reminder schedule, plus a monthly report showing what got paid after a reminder and what still needs a call from you.
Invoice reminder questions
Is this debt collection?
No. It's reminders from your own business about your own invoices. The tone stays friendly, disputes go to you, and nothing is sent to a collections agency.
How does it know when an invoice is paid?
If we connect to your invoicing tool, it sees payments and stops automatically. If we can't connect, your team marks invoices paid with a quick tap.
Text or email?
Either or both. Text usually gets seen faster, and email is better for longer invoices. We set it up the way your customers prefer.
Can it charge late fees?
It only mentions late fees if your existing terms include them and you want them mentioned.
What does it cost?
The audit is free. It's part of our Win and Get Paid package at $500 a month plus a one-time $2,500 setup, or on its own it's $300 a month plus a one-time $1,200 setup. Setup can be split across your first three months. You'll know the exact price before anything is built. See all packages.
